Booking Confirmation & Travel Insurance Acknowledgement

GENERAL INFORMATION & PRIVACY NOTICE

We respect your privacy. Personal information provided to Adventurelust will be used solely to manage your bookings and communicate with you regarding your travel arrangements. We will not share your details with third parties without your consent.

By confirming a booking and making payment, you consent to Adventurelust storing and using your information in accordance with this policy. If you wish to have your details removed from our records, please notify us.

TRAVEL DOCUMENTS, VISAS & VACCINATIONS

Travelers are responsible for ensuring they possess all necessary documents, including valid passports, visas, travel permits, and any required health certificates or inoculations.

  • Passports should generally be valid for at least six months beyond travel dates and contain at least two blank pages for visas.

  • Requirements may change at short notice. Adventurelust is not responsible for denied entry, delays, or costs due to incomplete or incorrect documentation.

  • Travelers are strongly advised to carry both physical and digital copies of all documents.

RESERVATIONS & PAYMENTS

  1. Reservations are confirmed only upon receipt of the required deposit as outlined in your Quote Document. Unless stated otherwise, deposits are due within seven (7) days of confirming the booking.

  2. Until payment is received, bookings remain provisional. Once a deposit is received, the booking is confirmed, and acceptance of these Terms & Conditions is implied.

  3. The remaining balance is due no later than 60 days prior to departure unless stated otherwise. Late payment may result in cancellation and forfeiture of deposits.

  4. Reservations made within 80 days of travel must be paid in full and are subject to availability.

  5. Itinerary revisions are limited to one initial proposal and one customized revision at no additional charge. Additional revisions incur a $100 USD administrative fee per revision.

  6. By submitting payment, you confirm that you have read and agreed to Adventurelust’s Terms & Conditions, including the mandatory travel insurance requirement covering emergency medical treatment, evacuation, repatriation, and trip cancellation/interruption.

CANCELLATIONS & REFUNDS

  1. Cancellations must be submitted in writing and are effective upon acknowledgment by Adventurelust.

  2. Adventurelust follows supplier cancellation policies. Where refunds are permitted, a 5% administrative fee of the total trip cost plus any applicable banking or transaction fees will apply.

  3. Deposit forfeiture and cancellation fees apply as follows (subject to supplier policies):

    • More than 10 weeks before departure: deposit only

    • 10–6 weeks before departure: 50% of total trip cost

    • Less than 6 weeks: 100% of total trip cost

  4. No refunds are available for:

    • Lost travel time, substitution of services, or amendments after departure

    • Circumstances beyond the Company’s control, including Force Majeure

    • Failure to carry valid travel documentation or follow safety instructions

    • Partial participation or early departure from the program

  5. Insurance may reimburse cancellation fees where applicable. Adventurelust is not liable for losses covered by a client’s insurance or any costs incurred outside supplier policies.

FORCE MAJEURE

Force Majeure refers to events beyond Adventurelust’s reasonable control, including natural disasters, extreme weather, civil unrest, government actions, operational decisions by third-party suppliers, or other unavoidable events.

  • Adventurelust may vary, postpone, or cancel any itinerary, accommodation, or transport arrangements. Refunds remain at our discretion, with reasonable efforts made to recover costs.

  • Emergency situations may require immediate decisions for traveler safety. Adventurelust will assist where possible but is not responsible for costs incurred during Force Majeure events.

EMERGENCY EVACUATION

  1. In emergencies requiring evacuation (medical, weather-related, natural disaster, security incidents, or arising from Force Majeure), all associated costs are the sole responsibility of the traveler.

  2. Travelers must carry comprehensive travel insurance covering emergency evacuation, medical treatment, repatriation, trip cancellation/interruption, and related expenses.

  3. Adventurelust may assist in coordinating evacuation or alternative arrangements for safety purposes but does not assume financial liability.

  4. Travelers authorize Adventurelust to act in their best interests during emergencies without assuming liability for costs incurred.

INSURANCE

Travelers are strongly advised to obtain comprehensive travel insurance before departure, covering:

  • Accidental death and disability

  • Emergency medical treatment

  • Emergency medical evacuation and repatriation

  • Trip cancellation and interruption

  • Loss of personal effects

Failure to obtain insurance is at the traveler’s own risk. Adventurelust accepts no liability for expenses arising from lack of coverage.

SURCHARGES & EXCHANGE RATES

  • Prices may be adjusted if third-party suppliers impose surcharges after payment.

  • Credit card payments incur a 3.6% service fee.

  • Exchange rates are based on mid-market rates on the day of payment.

CARRIAGE BY LAND, SEA & AIR

Travel is subject to the terms of carriers, including operational decisions that may cause delays, diversions, or cancellations. Adventurelust is not liable for losses arising from carrier operations.

Charter flights:

  • Scheduled departures are strictly enforced. Late arrivals may be treated as no-shows and charged in full.

  • Baggage limits apply (typically 15–20kg, soft-sided bags only).

Luggage & No-Show Policy: Passengers on charter flights are limited to 15–20kg of luggage, airline-dependent. Only soft-sided bags are permitted. No-shows for charter flights will be charged in full. Incoming passengers arriving 30 minutes or more after the scheduled arrival time may also be treated as no-shows and charged accordingly.

BAGGAGE

Loss, damage, or delay of baggage is the responsibility of the traveler or the carrier.

SPECIAL REQUESTS

Any special requirements (dietary, accessibility, medical) must be submitted in writing at the time of booking. Adventurelust will endeavor to accommodate requests but cannot guarantee outcomes.

INFORMATION IN TRAVEL PROPOSALS

Travel proposals are based on the best available information at the time and may be subject to change. They convey typical experiences but cannot guarantee exact outcomes.

DISPUTES & CONSENT

Complaints should be raised immediately with the local representative. Payment of deposits or any portion of the trip constitutes acceptance of these Terms & Conditions and consent to all provisions.

CONDITION OF BOOKING & PERSONAL RESPONSIBILITY

Clients must comply with the instructions of Adventurelust representatives at all times. Travelers unable to care for themselves or who pose a hazard to others may be removed from the trip without liability on the part of Adventurelust.

Travelers are responsible for ensuring compliance with all requirements, including visas, documentation, payments, and insurance. Adventurelust will provide guidance but is not liable for failure to meet these obligations.

NOTICE OF ENFORCEABILITY

By booking with Adventurelust, you enter a binding agreement. You acknowledge understanding and acceptance of all Terms & Conditions stated herein.
